Every fall we hear a version of the same story from practice owners. Summer got busy, or summer got quiet in that unpredictable way practices sometimes do, and either way the books slid down the priority list behind patient care and everything else running a practice requires. That's not unusual. It's just where things sit for a lot of owners heading into September.
September is a natural reset point. Patient volume tends to settle into a more predictable rhythm once school schedules take over the calendar, and that makes it a good window to actually get caught up before Q4 planning and next year's tax prep are riding on numbers nobody's looked at since spring.
Catching up isn't just about feeling organized, though that matters too. It's about knowing whether your numbers are actually telling you what you think they are. If collections have been slower than they should be, September is when you find that out with enough runway left in the year to do something about it. If the practice has had a strong year so far, September is when you decide what to do with that position before year-end tax planning needs an answer.
For a practice, catching up usually means a few specific things. Reconciling your bank and merchant accounts against what's actually in your books, not just what the software says. Making sure insurance payments, patient payments, and adjustments are categorized correctly, since a shortcut of dumping everything into one general income account tells you nothing about your real collection rate. And running an actual P&L so you can see, in plain numbers, how the last several months have gone.
