A lot of practice owners start out managing their books in a spreadsheet, or relying entirely on whatever basic reporting comes bundled with their practice management software. It works for a while. Then patient volume grows, staff gets added, and the spreadsheet that used to take twenty minutes a week starts eating a whole afternoon, if it gets updated consistently at all.

Xero solves problems a spreadsheet structurally can't handle well. Bank and merchant account feeds connect directly, pulling in transactions automatically instead of requiring manual entry from statements, which eliminates one of the most common sources of error we see in DIY practice books.

None of this means a spreadsheet is a bad place to start, and plenty of small solo practices run fine on one for the first year or two. But once you've got associates, insurance-based billing at real volume, and enough transaction activity that manual entry is eating real hours out of your week, that's usually the point where switching pays for itself quickly.
