Why Fall Is the Best Time to Plan Next Year's Pricing

Most HVAC owners set their pricing once, years ago, and adjust it reactively when margins start feeling tight rather than reviewing it on a regular schedule. Fall, once the summer rush eases and before next year's busy season planning kicks off, is one of the best windows to actually sit down and look at whether your pricing still makes sense.

The case for reviewing pricing now instead of waiting starts with the fact that you've just finished your busiest stretch of the year, which means you have a full season of fresh data on actual job costs, labor efficiency, and material pricing. That data is far more useful for setting next year's rates than pricing decisions made off old numbers or gut instinct.

Material costs, labor rates, and fuel prices don't stay flat, and pricing that made sense two years ago often hasn't kept pace with what jobs actually cost you today. This is exactly how margin erosion happens gradually, as we covered a couple posts back. A fall pricing review is the natural checkpoint to catch that drift and correct it before it compounds through another full season.

A proper pricing review means going job type by job type, comparing your current rates against actual costs including labor, materials, overhead allocation, and a reasonable profit margin, not just adjusting last year's number by a flat percentage and hoping it's close enough. This is where accurate job costing data, the kind we talked about earlier this month, becomes directly useful instead of just an interesting report.

It's also worth reviewing how your pricing compares to competitors in your service area, though this should inform the conversation rather than drive it entirely. Being the cheapest option in your market isn't a strategy if it means running jobs at a margin that can't sustain the business.

If pricing hasn't been seriously reviewed in the last year or two, fall is the right time to fix that before you're locked into another season of rates that were set for a different cost environment.
