How to Price a Job So It Actually Covers Your Overhead

A lot of HVAC pricing gets built off gut feel and what the competition seems to charge, without a clear calculation of what a job actually needs to bring in to cover everything behind the scenes that isn't visible on the invoice. That gap is where thin margins quietly come from.

Every job you price needs to cover more than the direct labor and materials sitting on that specific invoice. It also needs to carry a fair share of your overhead: the office staff, insurance, vehicle costs beyond fuel, software, marketing, and everything else that keeps the business running whether or not that specific job happened. If pricing only accounts for direct costs and ignores overhead, you can run a full schedule of "profitable" jobs and still end the month behind, because overhead never actually got covered by any of them.

Building this correctly starts with calculating your total annual overhead and dividing it across your expected billable hours for the year, which gives you an overhead rate per hour that needs to be baked into every job's pricing, not treated as a separate line item that gets absorbed vaguely into "profit." Add that overhead rate to your direct labor cost, materials, and desired profit margin, and you get a price that actually reflects what the job needs to generate, not just what feels competitive.

If your job costing shows that installation work is running thinner margins than service calls once overhead is properly allocated, that's a signal your installation pricing needs a hard look, not just your service rates.
