Every fall we get the same phone calls. A contractor who crushed it all summer realizes he has no idea what he actually made, because the books haven't been touched since June. That's not a knock on anybody. When you're running calls seven days a week in July and August, bookkeeping is the first thing that slides.
September is the reset point. Call volume starts to ease, the crew isn't stretched as thin, and you've got a real window to get caught up before Q4 planning starts and before your CPA starts asking questions you can't answer yet.
Getting caught up isn't just about feeling organized. It's about actually knowing your numbers while there's still time to act on them. If your summer margins were thinner than you thought, September is when you find that out and adjust pricing or staffing before it happens again next year. If you had a great summer, September is when you decide what to do with that cash before the slow season eats into it.
Here's what catching up usually involves for a contractor who's fallen a few months behind. First, we reconcile every account against your bank and card statements, not just what's sitting in the software. Second, we categorize the backlog of transactions correctly, because a summer's worth of fuel, parts, and equipment purchases dumped into "miscellaneous" tells you nothing. Third, we run a real P&L so you can see, in plain numbers, what June, July, and August actually looked like.
Most of the contractors we work with are running Xero, and there's a reason for that. It connects cleanly to your bank feeds, it handles job tracking better than a spreadsheet ever will, and it doesn't require you to be an accountant to read it. If you're still managing your books in a notebook or a shoebox of receipts, September is a good month to make the switch before things get busier again.
We built 911 Bookkeepers around the idea that your books shouldn't be an emergency. But if yours already is one, that's exactly what we're here for. Rescuing your books one call at a time isn't just a tagline for us. It's Monday morning.
