Every HVAC contractor deals with callbacks. A job that didn't hold, a part that failed early, a fix that didn't quite solve the problem the first time. Most owners treat these as a cost of doing business and move on without ever calculating what they're actually costing the company over time.

A callback isn't free just because you're not charging the customer for it. You're still paying the technician's time and drive time for that second visit, and if parts are involved, you're covering that cost too, on top of whatever margin was already thin on the original job. When callback rates run high for a particular tech, a particular job type, or a particular brand of equipment, that's a real drag on overall profitability that doesn't show up clearly unless you're specifically tracking it.

Tracking callback rate by technician can surface training issues before they become a pattern serious enough to affect your reputation. Tracking callback rate by equipment brand or job type can reveal whether a specific product line is generating more warranty work than it's worth, information that's genuinely useful the next time you're deciding what to stock or install. Tracking the total cost of callbacks against total revenue gives you a real number for how much of your profit margin is quietly being eaten by rework.
